We only collect what we need to respond, book meetings and deliver what you've ordered. Here's what we do with the data and how you can have it removed.

Who is responsible for the data
TeamPilot is the data controller for the information collected via teampilot.se. If you'd like to know more about a particular processing activity, or to exercise any of your rights, email contact@teampilot.se and we'll get back to you within one working day.
What data we collect
- Contact details you provide yourself: name, email, phone number, company and role.
- The content of what you write to us: enquiries, replies to the booking agent AI-Tom, and free text in forms.
- Booking details: chosen time, meeting format and the information you've given about your needs.
- Event registrations: name, email, company and any requests ahead of the event.
- Technical data: IP address, browser and approximate geographic location, as a natural result of the site being delivered over the internet.
Why we process the data
- To respond to enquiries and book meetings. Legal basis: legitimate interest in managing customer contact, or preparation for a contract.
- To administer events and send invitations and practical information. Legal basis: contract and legitimate interest.
- To deliver and manage agents, training and support. Legal basis: contract.
- To improve the site and understand what visitors are looking for. Legal basis: legitimate interest.
AI-Tom, our booking agent
If you chat with AI-Tom, your messages are sent to a language model so it can generate replies and suggest times. Please don't enter sensitive personal data or confidential information in the chat. The conversation is stored linked to the booking or enquiry it resulted in, so that we can prepare for the meeting.
Who can see the data
The data is handled by TeamPilot's staff and by the suppliers we use to run the site, email and calendar, the database, and the language model behind AI-Tom. All of them are bound by data processing agreements. We never sell personal data.
How long we keep it
- Enquiries and chats that don't lead anywhere further: up to 12 months.
- Booked meetings and event registrations: up to 24 months after the meeting or event.
- Customer data in ongoing deliveries: for the duration of the contract and thereafter for as long as accounting or contractual requirements demand.
Your rights
You have the right to request a copy of your data, correction, deletion, restriction or data portability, and the right to object to processing based on legitimate interest. Email contact@teampilot.se and we'll handle your request. If you're not satisfied with how we handle your data, you can contact the Swedish Authority for Privacy Protection (IMY), imy.se.
